Completing Tasks

When work is done, mark tasks as complete. This guide covers the completion process and related workflows.

Marking Tasks Complete

Quick Complete

The fastest way to complete a task:

  1. Find the task in any view
  2. Click the checkbox next to the task name
  3. Task is marked complete

From Task Detail

  1. Open the task
  2. Click Mark Complete or change status to "Complete"
  3. Task closes and is marked done

Keyboard Shortcut

  1. Select a task
  2. Press X or D (for done)
  3. Task completes

Task Statuses

Tasks move through statuses before completion:

Completing from Any Status

You can mark a task complete from any status. The completion counts regardless of intermediate steps.


Completing Sub-Tasks

When tasks have sub-tasks:

Individual Completion

  1. Complete sub-tasks individually
  2. Parent task shows progress (e.g., 3/5 complete)
  3. Complete parent when all sub-tasks done

Auto-Complete Parent

Configure automatic parent completion:

  1. Go to SettingsTasks
  2. Enable "Auto-complete parent when all sub-tasks complete"
  3. Parent marks complete automatically

Completing Parent First

If you complete the parent:

  • Option to complete all sub-tasks
  • Or leave sub-tasks in current state

Completion with Dependencies

When a task blocks others:

  1. Complete the blocking task
  2. Dependent tasks become unblocked
  3. Dependents move to ready status
  4. Assignees are notified

Adding Completion Notes

Document what was done:

Completion Comment

  1. When completing, add a comment
  2. "Completed: Final designs uploaded to Files"
  3. Helps with tracking and handoffs

Completion Checklist

Some organizations require:

  • Summary of work done
  • Links to deliverables
  • Any notes for next steps

Reopening Completed Tasks

If a task needs more work:

Reopen Task

  1. Find the completed task
  2. Click the completion checkbox to uncheck
  3. Or click Reopen in task detail
  4. Task returns to previous status

When to Reopen

  • Revisions needed
  • Issue discovered
  • Requirements changed
  • Incomplete work

Completion Notifications

When you complete a task:

  • Requester notified — Person who created the task
  • Team notified — If configured
  • Project updated — Progress percentage changes
  • Activity logged — In task and project history

Customize Notifications

  1. Go to SettingsNotifications
  2. Configure completion notifications
  3. Choose who gets notified

Tracking Completions

Recent Completions

See what's been finished:

  1. Go to project Activity tab
  2. Filter by "Task Completed"
  3. View completion timeline

Completion Reports

Analyze task completion:

  1. Go to ReportsTasks
  2. View completion metrics:
    • Tasks completed per day/week
    • Average time to complete
    • Completion by team member

Celebrating Completions

Acknowledge completed work:

Reactions

  1. On a completed task
  2. Add a reaction (🎉, 👏, etc.)
  3. Team sees the celebration

Completion Messages

Configure completion celebrations:

  1. Settings → Tasks → Celebrations
  2. Enable completion messages
  3. Custom messages appear when tasks complete

Archiving Completed Projects

When all tasks are complete:

Project Completion

  1. Review all tasks are done
  2. Change project status to "Completed"
  3. Optionally archive the project

Archived Projects

Completed projects can be archived:

  • Removed from active lists
  • Still accessible for reference
  • Can be restored if needed

Bulk Completion

Complete multiple tasks at once:

  1. Select tasks with checkboxes
  2. Click Bulk Actions
  3. Choose Mark Complete
  4. All selected tasks complete

Use for:

  • End of project cleanup
  • Cancelling outdated tasks
  • Quick updates

For tasks that won't be completed:

  1. Open the task
  2. Click Cancel Task
  3. Add reason (optional)

Complete Promptly

  • Mark tasks done when finished
  • Don't let completions pile up
  • Keeps project progress accurate

Document Completion

  • Add notes on what was done
  • Link to deliverables
  • Note any follow-ups needed

Regular Reviews

  • Review incomplete tasks
  • Cancel outdated items
  • Keep task list current
