Project Templates
Project templates let you standardize common project types, saving time and ensuring consistency. Create a template once, then use it to spin up new projects with pre-configured tasks, deliverables, and settings.
What's in a Template?
A project template can include:
- ✅ Pre-defined tasks
- ✅ Standard deliverables
- ✅ Default timeline (relative dates)
- ✅ Team role assignments
- ✅ Project settings
- ✅ Tags and categories
- ✅ Custom field values
Creating a Template
From Scratch
- Go to Projects → Templates
- Click + New Template
- Enter template name
- Add tasks, deliverables, and settings
- Save template
From an Existing Project
Convert a successful project into a template:
- Open the project you want to use as a base
- Click ⋮ menu
- Select Save as Template
- Name the template
- Choose what to include:
- Tasks (names and structure)
- Deliverables
- Timeline (converted to relative days)
- Team roles (not specific people)
- Save

Template Info

Tasks
Add tasks that will be created with each project:
- Click + Add Task
- Enter task name
- Set relative due date (e.g., "Day 5", "Week 2")
- Assign to a role (not a person)
- Set priority and other defaults
Deliverables
Define expected deliverables:
- Click + Add Deliverable
- Enter deliverable name
- Set relative due date
- Add description
Timeline
Set relative dates based on project start:

Using a Template
Create Project from Template
- Click + New Project
- Select From Template
- Choose your template
- Set project name and client
- Set start date
- Review and customize
- Create project
What Happens
When you create from a template:
- All tasks are created with calculated due dates
- Deliverables are added
- Settings are applied
- You can modify anything before saving
Managing Templates
Viewing Templates
- Go to Projects → Templates
- Browse all templates
- Filter by category
- Search by name
Editing Templates
- Open the template
- Click Edit
- Make changes
- Save
Editing a template doesn't affect projects already created from it.
Duplicating Templates
- Open the template
- Click ⋮ → Duplicate
- Name the copy
- Modify as needed
- Save
Deleting Templates
- Open the template
- Click ⋮ → Delete
- Confirm deletion
Deleting a template doesn't affect existing projects.
Template Categories
Organize templates by category:
Default Categories
- Website — Web design and development
- Marketing — Marketing campaigns
- Branding — Brand and identity
- Content — Content creation
- General — Other projects
Custom Categories
Create your own:
- Go to Settings → Projects → Template Categories
- Click + Add Category
- Enter name and description
- Save
Role-Based Assignment
Templates use roles instead of specific people:
Why Roles?
- Templates work across different teams
- People come and go
- Roles indicate skill needed
Template Roles
Assign tasks to roles like:
- Project Manager
- Designer
- Developer
- Content Writer
- Account Lead
Resolving Roles
When creating a project:
- System shows which roles are needed
- You assign specific people to each role
- Tasks are assigned to those people
Template Best Practices
Start Simple
- Create templates for your most common projects
- Include only essential tasks
- Add more detail over time
Keep Updated
- Review templates quarterly
- Update based on lessons learned
- Remove outdated steps
Standardize Naming
Use consistent naming:
- "Website Redesign - Full"
- "Website Redesign - Landing Page Only"
- "Marketing Campaign - Social"
- "Marketing Campaign - Email"

In template description, include:
- When to use this template
- Typical timeline
- Key milestones
- Special considerations
Sharing Templates
Team Templates
By default, templates are visible to all team members.
Personal Templates
Create private templates:
- When saving, toggle Private
- Only you can see and use it
Exporting Templates
- Open the template
- Click ⋮ → Export
- Download as JSON
- Import to another workspace
