Tracking Deliverable Progress

Keep deliverables on track by monitoring progress, managing approvals, and ensuring timely delivery. This guide covers how to track deliverable progress.

Progress Overview

Each deliverable shows progress based on:

  • Linked task completion — Percentage of linked tasks done
  • Status — Current deliverable status
  • Due date — Days until/overdue
  • Approval status — Client response

Deliverable Dashboard

View all deliverables in one place:

  1. Go to ProjectsDeliverables
  2. See list of all deliverables across projects
  3. Filter by:
    • Status
    • Project
    • Due date
    • Client

Status Workflow

Typical Flow

Draft → Ready → Delivered → Approved

Updating Status

  1. Open the deliverable
  2. Click status to change
  3. Select new status
  4. Add notes about the change

Status Triggers

You can set up automations:

  • When all tasks complete → Ready
  • When file uploaded → Draft
  • When client views → Delivered

Due Date Tracking

Setting Due Dates

  1. Open deliverable
  2. Click date field
  3. Select due date
  4. Save

Due Date Alerts

Get notified about upcoming deliverables:

  1. SettingsNotifications
  2. Enable due date reminders
  3. Choose timing (1 day, 3 days, 1 week before)

Overdue Handling

When deliverables are overdue:

  • Status shows "Overdue" indicator
  • Appears in overdue filter
  • Escalation notifications (if configured)

Progress from Tasks

When tasks are linked:

Progress Calculation

Progress = Completed Tasks / Total Linked Tasks

Example: 3 of 5 tasks done = 60% progress

Viewing Progress

  1. Open the deliverable
  2. See progress bar
  3. View linked tasks and their status

No Linked Tasks

If no tasks are linked:

  • Progress based on status only
  • Draft = 0%, Ready = 75%, Delivered = 90%, Approved = 100%

Client Approval

Track client responses:

Requesting Approval

  1. Set status to "Delivered"
  2. Click Request Approval
  3. Choose notification method:
    • Email to client
    • Portal notification (if enabled)
  4. Send request

Approval Options

Clients can respond:

  • Approve — Deliverable accepted
  • Request Revision — Changes needed
  • Comment — Questions or feedback

Handling Revisions

When revision requested:

  1. Deliverable status changes to "Revision Requested"
  2. Review client feedback
  3. Make changes
  4. Resubmit for approval

Deliverable Reports

Analyze deliverable performance:

Delivery Rate

Track on-time delivery:

  • Delivered on or before due date
  • Calculate percentage
  • Identify patterns

Time to Approval

How long from delivery to approval:

  • Average time
  • By client
  • By project type

Revision Frequency

How often revisions are requested:

  • First-time approval rate
  • Common revision reasons
  • Improvement opportunities

Calendar View

See deliverables on a calendar:

  1. Go to Deliverables
  2. Switch to Calendar View
  3. Deliverables show on due dates

Kanban View

Organize by status:

  1. Switch to Board View
  2. Columns by status
  3. Drag to update status

List View

Detailed table view:

  1. Switch to List View
  2. Sort by any column
  3. Customize columns
