Client Activity

The Activity timeline gives you a complete view of all interactions, changes, and events related to a client. Use it to stay informed and pick up where you left off.

Accessing the Activity Timeline

  1. Open any client record
  2. Click the Activity tab

The timeline displays events in reverse chronological order (newest first).


Types of Activity

The activity timeline captures various types of events:

Communication

Filtering Activity

To focus on specific types of activity:

  1. Click the Filter dropdown above the timeline
  2. Select one or more activity types:
    • All Activity
    • Emails
    • Notes
    • Projects
    • Files
    • Changes
  3. The timeline will update to show only selected types

Activity Details

Click on any activity item to see more details:

Email Activity

  • Preview of email content
  • Sender and recipients
  • Attachments
  • Link to view full email

Project Activity

  • Project name and status
  • What changed (status, assignment, etc.)
  • Who made the change

File Activity

  • File name and type
  • File size
  • Link to download or preview

Adding Activity Manually

Some activities are logged automatically, but you can also add manual entries:

Log a Phone Call

  1. In the Activity tab, click + Log Activity
  2. Select Phone Call
  3. Enter details:
    • Call direction (incoming/outgoing)
    • Duration
    • Summary/notes
  4. Click Save

Log a Meeting

  1. Click + Log Activity
  2. Select Meeting
  3. Enter details:
    • Meeting date and time
    • Attendees
    • Meeting notes
    • Follow-up actions
  4. Click Save

Find specific activities quickly:

  1. Use the search box in the Activity tab
  2. Search by:
    • Keywords in notes or emails
    • User names
    • Project names
    • Date ranges

Activity Timeline Best Practices

Keep It Updated

  • Log calls and meetings promptly
  • Add notes after important conversations
  • Record decisions and next steps

Use It for Handoffs

When another team member takes over a client:

  1. Share the client record
  2. Point them to the Activity tab
  3. They can see the full history

Review Before Meetings

Before meeting with a client:

  1. Open their Activity timeline
  2. Review recent interactions
  3. Note any pending items or follow-ups

Activity Notifications

Get notified about client activity:

  1. Open the client record
  2. Click the Bell icon to follow
  3. Choose notification preferences:
    • All activity
    • Only mentions
    • Daily summary

Exporting Activity

To export a client's activity history:

  1. Open the client record
  2. Go to the Activity tab
  3. Click menu
  4. Select Export Activity
  5. Choose format (PDF or CSV)
  6. Download the file

This is useful for:

  • Client reports
  • Handoff documentation
  • Compliance records
