Linking Clients to Companies

Connecting clients to their companies helps you see the full picture of your organizational relationships. This guide covers how to link, unlink, and manage client-company associations.

Linking provides:

  • 📊 Organizational overview — See all work for a company
  • 👥 Team visibility — Know who's who at each company
  • 📈 Better reporting — Aggregate data by company
  • 🔗 Relationship context — Understand client connections

Linking When Creating a Client

The easiest way to link is during client creation:

  1. Click + Add Client
  2. Fill in client details
  3. In the Company field, start typing
  4. Select the company from dropdown
  5. Save the client

If the company doesn't exist:

  1. Click + Create "[Company Name]"
  2. Enter quick company details
  3. Save both records

Linking an Existing Client

To add a company association to an existing client:

  1. Open the client record
  2. Click Edit
  3. Find the Company field
  4. Search for and select the company
  5. Click Save

Some views allow quick linking:

  1. In the clients list, find the Company column
  2. Click the empty cell or current company
  3. Select a new company
  4. Change saves automatically

Linking Multiple Clients to a Company

When you need to associate many clients with a company:

Bulk Assignment

  1. Go to CRM → Clients
  2. Select multiple clients using checkboxes
  3. Click Bulk Actions
  4. Choose Assign Company
  5. Select the target company
  6. Confirm

From Company View

  1. Open the company record
  2. Go to the Clients tab
  3. Click + Add Existing Client
  4. Search for clients to add
  5. Select and confirm

Viewing Company Clients

To see all clients associated with a company:

  1. Open the company record
  2. Click the Clients tab
  3. View the list of associated clients

From here you can:

  • Open any client record
  • Add new clients
  • Remove associations
  • Export the list

Changing a Client's Company

To move a client to a different company:

  1. Open the client record
  2. Click Edit
  3. Clear the current company
  4. Select the new company
  5. Save
note

This changes the association only. Projects and files retain their original company links unless explicitly changed.


To unlink a client from a company without deleting either:

  1. Open the client record
  2. Click Edit
  3. Clear the Company field
  4. Save

The client becomes unassociated but both records remain intact.


Primary Contact

Designate a primary contact for each company:

  1. Open the company record
  2. Go to Clients tab
  3. Find the primary contact
  4. Click the star icon

The primary contact:

  • Appears first in lists
  • Is highlighted in the company header
  • May receive default communications

Client Roles at Companies

Define each client's role within their company:

  1. Open the client record
  2. Find Role or Title field
  3. Enter their position (CEO, Marketing Director, etc.)
  4. Save

Roles help you:

  • Identify decision-makers
  • Route communications appropriately
  • Understand organizational structure

Troubleshooting

Client shows wrong company

  1. Open the client record
  2. Verify the Company field shows the correct company
  3. If wrong, edit and correct

Client doesn't appear in company's client list

  1. Ensure the client is linked (check client record)
  2. Refresh the company page
  3. Check filters (archived clients may be hidden)

Can't find company when linking

  1. The company may not exist — create it first
  2. Try different search terms
  3. Check for typos in company name
